The Director of Operations oversees the organizational activities of

Willow Pregnancy Support. This position provides operational leadership in a variety of

departments — from finance to human resources. This position is responsible for

building maintenance, financial management, human resources management, and

project management. The operations manager is ultimately responsible for maintaining

and increasing the efficiency of Willow Pregnancy Support.


Operations Management

  • Oversees administrative functions as well as facilities to ensure efficient and consistent operations as the organization scales
  • Manages all vendor relationships.
  • Schedules and provides support for board and committee meetings
  • Contributes to the development and integration of new processes as appropriate
  • Oversees Technology Integration


  • Ensures record retention and organization
  • Analyzes and presents financial reports in an accurate and timely manner
  • Oversees and leads annual budgeting and planning process in conjunction with the Executive Director
  • Manages cash flow to support operational requirements
  • Coordinates day-to-day finance operations including processing deposits, payables, reimbursements, and invoicing
  • Maintains a contracts management and financial management reporting system
  • Updates and implements all necessary business policies and accounting practices
  • Supports annual audit and presents financial reports to the Board of Directors
  • Oversees all insurance policies

Human Resources

  • Develops and administers Willow Pregnancy Support’s human resources and administration, enhancing professional development, compensation and benefits, performance evaluation, training, and recruiting.
  • Ensures recruiting processes, hiring and onboarding are consistent and streamlined
  • Manages employee files and ensures timely annual review
  • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, changes to pay rates, and direct deposit accounts.
  • Establishes and manages a comprehensive training program to educate employees regarding staff tools, policies, and procedures
  • Maintains filings to ensure compliance with federal and state requirements
  • Administration of Workers’ Compensation - Responsible for claims monitoring and administration, communication with employees, managers, and insurance carrier

Project Management

  • Works with management members in compiling a project team
  • Management of Capital Campaigns including but not limited to campaign implementation; management of campaign budget; assist with implementation of cultivation and recognition events
  • Assists with keeping projects within a realistic timeline and budget
  • Helps oversee and determine changes to the project scope, project design, and project schedule



  • Bachelor’s degree - BBA preferred 
  • Experience with finance and budgeting including proficiency in QuickBooks
  • Human Resources experience
  • Works independently and follows through on assignments with minimal direction
  • Highly organized and able to handle multiple projects and deadlines with exceptional attention to detail
  • Well-developed management and interpersonal skills
  • Record maintenance/management experience
  • Knowledgeable in Microsoft Word, Excel, and PowerPoint
  • Strong verbal and written communication skills
  • Effective organization and problem-solving skills
  • Ability to deal compassionately and effectively with the public, staff at all levels, board members, and donors in a personable and professional manner
