Position Summary
The Volunteer and Communication Coordinator is responsible for assisting efforts in recruiting, developing, and retaining volunteers, and oversees communications channels — including social media — to connect supporters with the mission of Food on the Move.
Key Responsibilities
Volunteer Coordination Management
Purchase, implement, customize and manage volunteer engagement platforms and registration systems.
Build and manage volunteer events on the website.
Develop and implement strategies to recruit volunteers through online platforms, community outreach, and partnerships.
Manage volunteer registration systems including iPads, tickets, forms, envelopes, waivers, and event supplies.
Maintain accurate volunteer records and databases, including contact information, photo release and disclaimers, hours contributed, and skills inventory.
Manage volunteer counts, attendance tracking, hour approvals, and reporting for both internal and external agency requirements.
Collaborate with staff to assess volunteer needs and ensure adequate support for all program activities.
Be on-site 30 minutes prior to the first volunteer shift at all major events.
Stay informed about relevant policies, regulations, and best practices related to volunteer management. Coordinate volunteer orientation sessions and provide training as needed.
Communicate regularly with volunteers to confirm shifts, provide updates, and address any scheduling changes or conflicts.
Monitor volunteer performance and provide feedback to recognize achievements and address areas for improvement.
Serve as the primary point of contact for volunteers, responding promptly to inquiries, feedback, and requests for assistance.
Communicate effectively with third-party volunteer group liaisons to coordinate registration, verification of hours, and ensure placement of our opportunities on third-party platforms.
Prepare regular reports on volunteer recruitment, retention, and engagement efforts and metrics for organizational leadership.
Communications & Social Media
Manage the organization’s social media presence (Facebook, Instagram, LinkedIn, etc.) to increase visibility and engagement.
Develop donor- and community-facing content for newsletters, reports, and digital campaigns.
Design graphics, flyers, videos, and digital materials for all campaigns and events.
Create branded materials and promotional assts for partner organizations and event hosts.
Highlight impact and success stories across platforms, ensuring consistency with the brand.
Track analytics and engagement to inform communications strategies.
Requirements
Technical & Administrative Skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic data entry systems, Facebook, and Instagram, and LinkedIn etc.
Strong written and verbal communication skills.
Ability to follow established procedures with accuracy and attention to detail.
Physical Requirements
Must be able to lift and carry up to 40 lbs on a regular basis.
This position may require standing, walking, bending, or lifting for up to 80% of the workday.
Ability to work in varying environments, including refrigerated or warehouse settings.
Work Environment & Schedule
Flexibility to work occasional evenings, weekends, or extended hours during peak times or special events.
Ability to work in a team-oriented, fast-paced environment with shifting priorities.
Willingness to work both independently and collaboratively across departments.
Reliable transportation to and from the worksite(s).
